Gladea Technologies Kenya Ltd is responsible for the personal information we collect through our website and business communications. This policy explains how we handle that information and how you can contact us about your privacy.
Information we collect
When you contact us through website forms, live chat, email, telephone or WhatsApp, we collect the details you provide. These may include your name, email address, telephone number, business name and enquiry or message.
For WhatsApp communications, we may also receive your profile name, message identifiers, timestamps and message delivery information.
Our website may record technical information, such as your IP address, browser type and server logs, to operate the website and investigate technical or security issues.
Please avoid including passwords, payment credentials or unnecessary sensitive personal information in your messages.
How we use your information
We use your information to respond to enquiries, arrange demonstrations or consultations, provide requested support and discuss our services with you.
We may store enquiry details and communications in our Odoo customer relationship management system to manage contacts, opportunities and follow-up activities. Access is restricted to authorised staff.
We process information as necessary to respond to your request, take steps towards a service agreement and maintain the security of our systems. Where processing requires your consent, we will request it separately.
WhatsApp communications
We use WhatsApp services provided by Meta. When you message us, your communications may be transferred through the WhatsApp Business Platform and stored in our Odoo CRM to help us manage and respond to your enquiry.
Meta also processes information under its applicable privacy policies. Information held by Meta or stored on your own device is subject to those separate arrangements.
Contacting us with an enquiry does not automatically subscribe you to promotional messages. Where required, we will obtain your permission separately before sending marketing communications.
Service providers and external links
Information may be processed through providers supporting our website, hosting, email and messaging services, including Gmail and Meta’s WhatsApp services.
Some providers may process information outside Kenya. Such processing must meet applicable data protection requirements, including appropriate safeguards or another permitted basis for transfer.
If you follow a link to Facebook, LinkedIn or another external platform, that platform’s privacy policy applies to your activity there.
How long we keep enquiries
We retain enquiry records, including WhatsApp enquiry records held in our CRM, for a maximum of 12 months from receipt, then delete them.
If an enquiry becomes a customer relationship, information needed for delivering services, contracts or accounting is handled separately. We will explain the applicable retention arrangements when collecting or using it for those purposes.
Our retention period applies to records under Gladea’s control. It does not determine how long external platforms or recipients retain their own copies.
Cookies and analytics
Our website uses cookies needed for functions such as sessions and security. You can manage cookies through your browser settings, although blocking essential cookies may affect website functions.
Google Analytics is not currently enabled. We will update this policy and configure the relevant cookie choices before introducing analytics.
Your privacy rights
Subject to applicable law, you may request access to your personal information, correction of inaccurate information, deletion where applicable, or object to its processing. Where processing relies on consent, you may withdraw that consent.
We may request information reasonably necessary to verify your identity before responding to a privacy request.
You may also raise a complaint with Kenya’s Office of the Data Protection Commissioner at www.odpc.go.ke.
